Description / Position Overview

Business Support Specialist II – Customer Service


About the Job:
We are seeking a Business Support Specialist II to provide comprehensive technical and administrative support to the Contracted Programs department within the Public Works Operations and Maintenance Division. The role also serves as a point of contact for the public, providing accurate information and guidance related to City policies and procedures.


This position is subject to budget required furloughs to be implemented in the 2026 calendar year.

As a Business Support Specialist II, you will:

  • Document standard operating procedures, prepare reports, compile data for analysis, coordinate activities, investigate and resolve problems, and handle special projects as assigned
  • Enter and manage data and tasks in programs including, but not limited to, Accela, GoGov, PeopleSoft and Cartegraph/OpenGov
  • Performs data entry; enters and pulls information from a variety of systems and reviews reports for accuracy, City permits, and update the Cone Zone app.
  • Provides customer service to internal and external customers through email, phone, or in person inquiries
  • Coordinate office equipment disposals; manage office supplies and inventory, janitorial and facility requests
  • Complete monthly audit of (Pikes Peak Rural Transportation Authority) PPRTA-2C request database and provide updates to all stakeholders and assist with internal and external audits by compiling documentation, responding to data requests, and reconciling discrepancies.
  • Prepare and maintain official meeting records, including agendas, minutes, and follow-up actions: Coordinate and manage the Public Works Project Schedule
  • Organize and attend pre-construction coordination meetings with contractors and affected stakeholders such as educational institutions, healthcare facilities, emergency response agencies, Colorado Springs Utilities, City departments, and additional stakeholders
  • Ensure compliance with City policies, procedures, and record retention requirements when maintaining documents, permits, and project records.
  • Serve as a liaison between Public Works, contractors, other City departments, and external agencies to support project coordination and information flow by tracking and following up on action items, deadlines, and deliverables to support project and operational timelines. This includes providing back-up support for other administrative functions within the division as needed.

We are looking for candidates who demonstrate:


Knowledge of:

  • Methods and techniques of data collection, research, and report preparation
  • Methods of administrative, organizational, economic, and procedural analysis
  • Modern office procedures and equipment, including computers and supporting software applications


Ability to:

  • Coordinate the collection, evaluation, and interpretation of information and data
  • Maintain detailed records and prepare professional reports
  • Communicate clearly and concisely, verbally and in writing
  • Establish and maintain effective working relationships

Minimum Qualifications

  • High school diploma or GED
  • Three years of full-time administrative or business support experience

Preferred Qualifications

  • Experience in municipal customer service
  • Experience with data management
