We are seeking a dedicated and highly organized Business Office Liaison to serve as the vital connection between our administrative team, clients, and external partners. The Business Office Liaison will be responsible for streamlining office functions, managing correspondence, and ensuring seamless communication across departments.

Duties

  • Serve as the primary point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy.
  • Handle incoming calls, direct inquiries appropriately, and provide exceptional customer support while maintaining excellent phone etiquette.
  • Manage office supplies inventory, coordinate filing systems, and perform data entry tasks using Microsoft Office and Google Workspace tools to ensure organized record-keeping.
  • Assist with calendar management and scheduling appointments for staff members or executives, ensuring efficient time management.
  • Support bookkeeping activities using QuickBooks or similar accounting software to maintain accurate financial records.
  • Proofread correspondence, reports, and documents to ensure clarity, accuracy, and professionalism before distribution.
  • Facilitate office management tasks such as filing, photocopying, and maintaining a clean and organized workspace.
  • Provide administrative support including typing documents, managing emails, and supporting personal assistant functions when necessary.

Qualifications

  • Proven experience in office management or administrative roles with a focus on clerical support and customer service excellence.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry skills.
  • Experience working with multi-line phone systems and handling front desk responsibilities in a professional environment.
  • Bilingual skills are highly desirable to effectively communicate with diverse populations.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
  • Knowledge of bookkeeping software such as QuickBooks is preferred but not mandatory; relevant experience in office bookkeeping is advantageous.
  • Previous experience in medical or dental receptionist roles is a plus due to familiarity with healthcare office procedures.
