Business Office Assistant

Allendale Family Practice is seeking a dependable, organized, and proactive Business Office Assistant to support the daily administrative and business office operations of our primary care practice.

This is more than a traditional administrative assistant role. The Business Office Assistant will help keep the business side of the practice running smoothly by supporting accounts payable, accounts receivable, billing follow-up, payroll preparation, scheduling support, vendor coordination, internal documentation, and office process consistency.

The ideal candidate is detail-oriented, trustworthy, professional, and comfortable working in a healthcare environment. This person should be able to manage recurring responsibilities independently, communicate well with staff, follow established processes, and help improve workflows as needed.

Key Responsibilities

  • Support daily business office operations, administrative workflows, and scheduling coordination.
  • Assist with invoice tracking, accounts payable, payment records, and vendor documentation.
  • Help with accounts receivable follow-up, billing support, patient balance workflows, and escalation of outstanding items.
  • Assist with payroll preparation, timecard review, PTO tracking, onboarding/offboarding checklists, and employee records.
  • Coordinate with vendors, suppliers, contractors, and service providers.
  • Track office supplies, service agreements, maintenance items, and recurring administrative deadlines.
  • Support internal communication, staff reminders, meeting preparation, and follow-up items.
  • Help maintain organized records, forms, documents, and standard operating procedures.
  • Identify gaps in office processes and recommend practical improvements.
  • Provide backup administrative support while maintaining ownership of business office responsibilities.

Qualifications

  • Prior experience in medical office administration, business office coordination, billing support, bookkeeping support, office management, or healthcare administration preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage deadlines and recurring responsibilities independently.
  • Strong written and verbal communication skills.
  • Comfortable handling confidential information.
  • Proficient with email, spreadsheets, document management, office software, and practice management systems.
  • Professional, reliable, calm under pressure, and able to work well with physicians, clinical staff, front office staff, vendors, and patients.
