Position Overview:
The Sub-Advisor is responsible for ensuring the smooth day-to-day operations and extraordinary service experience for both clients and prospects. This role directly supports lead advisors and the broader office by managing communication, client paperwork, file integrity, scheduling, event preparation, and process implementation. The Sub-Advisor is expected to proactively resolve issues, maintain exceptional organization, and document all activities in accordance with firm policies and industry regulations.
Key Responsibilities:
- Administrative Support:
- Assist with day-to-day administrative tasks, including filing, data entry, and scheduling appointments.
- Handle incoming and outgoing correspondence, ensuring timely and accurate delivery.
- Maintain organized records and ensure confidentiality of sensitive information.
- Customer Service:
- Greet clients and visitors with professionalism and courtesy.
- Manage phone calls and direct inquiries to the appropriate team members.
- Assist in resolving client queries and provide general information about services.
- Office Coordination:
- Help maintain office supplies and ensure common areas are tidy and equipped.
- Assist in the preparation of meeting materials and setting up meeting rooms.
- Support team members with various projects and tasks as assigned.
- Technology and Tools:
- Learn to use office equipment such as copiers, scanners, and fax machines efficiently.
- Gain basic proficiency with office software, including Microsoft Office (Word, Excel, Outlook), TurboTax, and others.
- Complete new client account paperwork:
Job Qualifications:
- Education and Experience:
- High school diploma or equivalent; some college course work preferred.
- Previous office or customer service experience is a plus, but not required.
- Required to complete Life & Health Insurance exam within first 90 days of hire.
- Recommended: Life and Health License (215)
- Skills and Abilities:
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Basic computer literacy and willingness to learn new software and technologies.
