Role Overview
You will be the first point of contact for clients, transferring calls and greeting visitors and clients in a welcoming manner. You will also be responsible for booking meeting rooms, taking and distributing meeting minutes, invoicing, collating, managing and updating various spreadsheets and project information.
Responsibilities
- Answering and transferring all telephone calls
- Monitoring and managing company email inboxes, and overseeing incoming/outgoing post and courier services
- Welcoming visitors
- Managing the conference room booking system and scheduling virtual meetings
- Ensuring conference rooms are prepared for meetings and organising refreshments/lunches
- Coordinating and issuing invites for CPDs
- Compiling, formatting and checking of reports, ensuring they are produced in line with company standards
- Producing and issuing invoices
- Typing, editing and issuing letters, reports, specifications and minutes
- Photocopying, scanning and binding of documents
- Setting up and maintaining electronic internal filing systems
- Assisting the Marketing team with updating marketing material
- Providing general office support to ensure smooth running of the office (e.g., coffee machine and photocopiers being stocked)
Qualifications
- GCSE English and maths (grade
4) or equivalent - Competent user of Microsoft packages Word, Excel and Adobe Acrobat
- Good attention to detail and ability to meet deadlines

Working Week: 37.5 hours (Monday to Friday, 7.5 hours per day)
Start time: 8.30am–9am
Finish time: 5pm–5.30pm (by arrangement with line manager)
Expected Duration: 1 Year 9 Months
Training Outcome
We expect this apprenticeship to progress to full‑time and permanent employment once the apprenticeship is successfully completed. We have a track history of developing apprentices within our support teams and would strongly encourage this.
