Position Overview
Branch Administrator – Human Resources Branch, Ontario Securities Commission (OSC).The OSC regulates Ontario’s capital markets and the Branch Administrator provides senior‑level administrative and operational support to the HR Branch, ensuring the smooth execution of budget, financial reporting, events, projects and general office management.
Key Responsibilities
- HR Management Support – Provide high‑level executive admin to senior executives, manage calendars, meetings, agendas, event planning, travel, correspondence, policies, budgets and public speaking engagements. Coordinate cross‑branch collaboration with Executive Administrators.
- HR Support – Oversee mandatory training (Health & Safety, AODA), record keeping and compliance reporting; manage name‑based and fingerprint criminal record checks; administer employee and student oaths; monitor HR email inboxes and route inquiries.
- Administrative & Executive Support – Serve as the main liaison for the Branch, coordinating with HR, IT, Office Services, Finance and other OSC branches. Resolve administrative issues, manage records, provide back‑up support and lead process improvements.
- Meeting, Event & Logistics Coordination – Plan internal and external meetings, presentations and events. Handle scheduling, invitations, materials, catering, registration and technical requirements; act as primary contact with external service providers.
- Financial Tracking & Reporting – Maintain branch budget, reconcile expenses and invoices, track accruals, coordinate procurement activities and travel/reimbursement, and produce monthly and quarterly financial reports.
- Document & Information Support – Prepare and format executive documents, reports, presentations and briefing materials; compile data from multiple systems for reporting; conduct research and summarize findings for management decision‑making.
- Program, Project & Office Operations – Coordinate administrative aspects of programs and projects (e.g., professional services agreements, student programs), liaise with external stakeholders, and support day‑to‑day office operations.
Qualifications
- Completion of a college or university program in business administration, administrative assistance, HR management or a related field; or equivalent education and experience.
- Minimum 3 years of senior administrative support in a professional office environment, including direct support to a senior executive and simultaneous support to multiple managers.
- Event coordination experience required.
- Knowledge of HR practices, employment legislation, OSC policies and the Securities Act is an asset.
- Strong organizational, problem‑solving, research, analytical and synthesis skills; ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
- Professionalism, sound judgment, discretion with confidential information and strong interpersonal, verbal and written communication ability.
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, One Drive, Teams).
