Job Summary
We are seeking a detail-oriented and proactive Bookkeeper / Administrative Assistant to join our small business. In this vital role, you will manage core financial record-keeping functions, ensure accurate transaction processing, and support administrative operations that keep our organization running smoothly. Responsibilities
- Maintain accurate financial records by recording transactions using Sage 50 accounting
- Perform bank reconciliations and general ledger account analysis to ensure data accuracy and completeness.
- Prepare and process journal entries, accounts payable, accounts receivable, and payroll transactions in accordance with GAAP (Generally Accepted Accounting Principles).
- Conduct balance sheet reconciliation and general ledger reconciliation to verify account balances and identify discrepancies.
- Manage accounts payable and receivable processes, ensuring timely payments and collections while maintaining detailed records.
- Support budgeting activities by tracking expenses and preparing financial reports; assist with financial report writing for internal or external stakeholders.
- Handle administrative duties such as 10-key typing, document filing, data entry, and supporting office operations as needed.
- Prepare, review, and submit construction submittals (shop drawings, product data, samples) to clients, architects, and engineers
- Support project managers with administrative tasks and document control
- Compile and manage closeout documents, including warranties, O&M manuals, and as-built drawings
- Distribute approved documents to relevant team members and ensure proper version control
- Assist with permits, inspections, and other regulatory documentation as needed
Skills
- Strong proficiency in accounting software (Sage 50 preferred)
- Solid understanding of financial concepts such as debits & credits, double-entry bookkeeping, journal entries, and account reconciliation.
- Experience with corporate accounting practices; familiarity with governmental or non-profit accounting is a plus.
- Knowledge of GAAP standards and technical accounting principles relevant to bookkeeping tasks.
- Ability to perform bank reconciliations, balance sheet reconciliation, and general ledger accounting accurately.
- Excellent organizational skills with attention to detail; capable of managing multiple tasks efficiently.
