We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role offers an exciting opportunity to contribute to the smooth operation of our office by managing financial records, supporting administrative functions, and providing exceptional customer service. You will play a vital role in maintaining accurate bookkeeping records while delivering friendly, professional support to clients and team members alike.

Responsibilities

  • Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations
  • Handle multi-line phone systems with professionalism, providing excellent customer support and front desk assistance
  • Maintain organized filing systems for financial documents, client records, and administrative files
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff and clients
  • Perform data entry tasks accurately and efficiently to ensure all records are up-to-date and compliant
  • Support office management duties such as ordering supplies, managing office equipment, and overseeing general administrative operations
  • Provide bilingual support when needed to assist diverse clients and team members effectively

Requirements

  • Proven experience in office management or administrative roles with a focus on bookkeeping or accounting functions
  • Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software
  • Strong computer literacy with excellent typing speed and proofreading skills
  • Previous clerical experience including data entry, filing, and document organization
  • Exceptional customer service skills with good phone etiquette and the ability to handle front desk responsibilities confidently
  • Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Bilingual abilities are highly preferred to support a diverse client base
  • Experience as a dental or medical receptionist or personal assistant is a plus but not required
