Bookkeeper/Administrative Assistant

Busy, growing medical practice is seeking an experienced Bookkeeper/Administrative Assistant who is highly proficient with accounting software (QuickBooks & NetSuite). This person must be professional and familiar with the handling of confidential and sensitive financial information. Candidate also must be able to pass a background check.

The ideal candidate will be expected to perform the following functions:

Bookkeeping Responsibilities:

Enter daily deposits and process payments via remote banking system

Enter invoices and process/pay bills

General ledger maintenance/chart of accounts

Inventory and sales of small retail aspect of the practice in Quickbooks

Monthly financial reports for management

General journal entries into NetSuite

Monthly bank reconciliations in NetSuite

Monthly reconciliations with bank & practice mgmt. system

Other balance sheet account reconciliations

Petty cash control & reconciliations

General accounting research as needed

Maintain vendor files (and all accounting related files)

Communication with practice administrator, corporate office, & CPA

Miscellaneous reporting & special projects as needed

Payroll Responsibilities:

Bi-weekly payroll processing, reporting and updates

Maintain employee files & payroll related tasks

Review/process employee leave requests

Track employee leave balances & call outs

Maintain confidential HR Files & new hire packets

Benefits administration

401K contributions & reporting

Administrative Responsibilities:

Maintain office supply inventory & order as needed

Open/distribute mail

Make travel arrangements

Arrange corporate functions

Copying/distribution of medical records

Response to insurance audits

Maintain general office files

Assistance to Physicians

Assistance to Practice Administrator

Requirements and Qualifications:

2-3 Years general office experience

2-3 Years experience in bookkeeping

Excellent computer skills (Microsoft Word/Excel)

Excellent knowledge of QuickBooks Pro software

Excellent knowledge of NetSuite software

Good understanding of accounting in general

Professional presentation and conduct

Proper handling of confidential financial & personnel information

Responsible and self-managed

Excellent follow-up and tracking skills

Ability to research discrepancies independently

Detail oriented and thorough

Team player eager to take on new tasks

Pay: From $25.00 per hour
