Job Responsibilities for Receptionist/Secretary Position
- Manage front desk operations, greet visitors, and provide general office support in a professional manner.
- Answer and direct calls through the switchboard or multi-line phone system.
- Prepare, track, and maintain records, files, and documentation accurately.
- Scan, file, and organize machine records and other office documents.
- Order, organize, and maintain office supplies to support daily operations.
- Process orders, transfers, and related administrative workflows according to standard procedures.
- Prepare and organize order packets and related materials for internal use.
- Assist with bills of materials, print documentation, and related updates.
- Process quality-related paperwork, including reject, scrap, and rework orders.
- Track orders, monitor status updates, and communicate information to appropriate personnel.
- Assist with negative on hand reports, discrepancy research, and inventory-related documentation.
- Work independently while maintaining organization, accuracy, and confidence in daily administrative tasks.
- Use basic computer skills to support office systems, records, and company processes.
- Previous experience in a receptionist or front desk role preferred
- Strong verbal and written communication skills
- Proficiency with Microsoft Office programs, including Outlook, Word, and Excel
- Excellent customer service and interpersonal skills
- Ability to answer multi-line phone systems and direct calls appropriately
- Strong organizational skills and attention to detail
- Ability to multitask and manage time effectively
- Professional appearance and positive attitude
- Basic clerical skills such as filing, data entry, and handling office correspondence
- High school diploma or equivalent required
