About Us

We are a statewide nonprofit committed to building inclusive communities and expanding opportunities for children, adults, and families with disabilities across Washington. We’re seeking Billing Specialist to provide accurate, timely, and compliant billing for multiple government-funded programs, including Workforce Development, Camp Stand By Me, Gateway Adult Services Center, and state-funded Respite services.

What You’ll Do

  • Prepare and submit monthly invoices for multiple Easterseals Washington (ESW) service programs including respite programs, workforce development services, and seasonal assistance with camp programs.
  • Extract service data from multiple case management systems to accurately enter required data into various state and federal billing portals.
  • Generate and submit invoices according to each programs specific billing requirements.
  • Review and verify supporting documentation for accuracy and completeness prior to submission (attendance records, service documentation, authorization verification, etc.).
  • Track and monitor DSHS Respite authorizations to ensure billed services align with approved authorizations.
  • Meet strict monthly submission deadlines and proactively manage workload to avoid last-minute processing.
  • Work with program leadership for accurate billing and communicate promptly regarding discrepancies, missing documentation, or billing corrections.
  • Enter payments into Quickbooks Online for each supported department, verify for accuracy, and reach out to contract contacts to remedy discrepancies.
  • Work in concert with ESW accountant, program director and COO to maintain accurate and current accounts receivable, contracts, and administrative records.
  • Respond to billing inquiries from funding agencies and internal leadership.
  • Support internal and external audits by gathering and organizing requested documentation in a timely manner.
  • Assist in maintaining and improving billing Standard Operating Procedures (SOPs) to ensure compliance and efficiency.
  • Maintain working knowledge of multiple state and federal billing platforms and funding requirements.
  • Enter monthly meal count data provided by centers to prepare and submit Children and Adult Care Food Program (CACFP) claims in accordance with required deadlines and compliance standards.
  • Provide reception coverage and general office administrative support, including greeting visitors, processing mail, and submitting purchase requests for office supplies as needed

What We’re Looking For

  • Ability to handle confidential information with discretion.
  • Commitment to ESW’s purpose and mission statement
  • Associate’s Degree in Business Administration, Accounting, or related field preferred
  • Experience processing payables and receivables; with 1+ years of using QuickBooks Online preferred.
  • Working knowledge of MS Office (Word, Excel, Outlook). Advance proficiency in Microsoft Excel required.
  • Government, medical, or other compliance-heavy billing experience preferred
  • Strong written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to work independently, with minimal of supervision

Compensation & Benefits

  • Salary range: $21-$23 per hour
