Position Summary
Provides day-to-day administrative support to the Early Intervention Referral Department.
Job Qualifications
· High school diploma or GED or Associate degree
· Minimum one year of Administrative Assistant experience required.
· Bi-lingual English/Spanish preferred.
· Ability to work effectively with families
· Strong communication skills written and verbal with families essential
· Knowledge of birth to three development a plus
· Ability to organize, plan and implement activities
· Ability to maintain accurate, legible and complete documentation
· Proficient working with Excel and Word
· Ability to handle confidential and sensitive information.
· Good problem-solving skills
· Ability to work with diverse populations and demonstration of cultural competence
· Demonstrate sensitivity, knowledge and understanding of the challenges families with a child with disabilities may experience
· Ability to manage multiple tasks simultaneously
· Willingness and ability to work as a team member within the early intervention system
Key Responsibilities
· Retrieves calls on a daily basis from System Point of Entry (SPOE) referral line, faxes, web forms and documents caller information in the Early Intervention Management System (EIMS)
· Contacts referral source to obtain any missing information.
· Enters and maintains data in master spreadsheet.
· Assigns referrals to SPOE SC according to the rotation.
· Performs general duties with a pleasant, composed and cordial manner
· Discreetly manages sensitive and confidential information concerning families, Family Link employees and all Family Link documents and activities

· Maintains confidentiality of information without exception; ensuring that information related to families who participate(d) or may participate in early intervention is only revealed or discussed where and when appropriate
· Consistently follows proper safety, emergency, and quality control policies and procedures
· Consistently adheres to Family Link policies and procedures
· Attends and participates in all staff meetings and trainings
· Consistently participates in cost containment efforts. Maintains proper and efficient use of equipment, time allocation, supplies, phones, and/or other Family Link resources
· Willingly and flexibly accepts additional duties and/or responsibilities as assigned

· The SPOE Ring Central Administrative Assistant position is expected to perform other such duties as the SPOE Supervisor and/or Executive Director may prescribe
· Full-time position (35 hours/week; twelve months/year) Hours: Monday – Friday 9am – 4:30pm
· Salary: $16.49 per hour.
JOB RELATIONSHIPS
Reports to the SPOE SC’s, SPOE SC Supervisor and the Executive Director of Family Link REIC; works collaboratively with other Family Link, DOH, and REIC staff.
