Position: Bilingual Office Assistant

We are looking for a reliable and organized Bilingual Office Assistant to join our team. The ideal candidate should have strong customer service skills, be detail-oriented, and be comfortable handling administrative tasks in a fast-paced office environment.

Requirements:

  • Minimum 1–2 years of office experience
  • Strong customer service skills
  • Computer skills required
  • Must be fluent in English and Spanish
  • Good organizational and communication skills

Responsibilities:

  • Insurance: Manage the company’s insurance policies related to COIs (Certificates of Insurance) for customers and cities. Keep records updated, send updated COIs to customers and municipalities, review insurance policies from vendors, and maintain records for city bonds and subcontractor insurance requirements.
  • Licensing: Ensure all company licenses remain current on a monthly basis. Maintain records and research required classes or renewals for participants when needed.
  • Vehicles: Maintain records for company vehicles including registration stickers, license plates, and EZ Tag enrollments or updates.
  • Customer Documentation: Prepare requested forms and documents for customers, including lead letters and other required paperwork.
  • Utility & Service Records: Maintain records of payments related to company services such as electricity, pool services, telephone, water, and gas.
  • Office Communications: Receive, sort, and distribute communications; collect and send outgoing correspondence.
  • Office Supplies: Monitor inventory of office supplies, anticipate needs, place orders, and distribute supplies to workstations when needed.
  • Administrative Support: Provide filing and administrative support for the CFO and Office Manager.
  • Riser Diagrams: Assist with the management and creation of riser diagrams as needed.
  • Event Planning: Assist in organizing company events and internal activities.
  • Errands: Run occasional company-related errands when required.
  • Receipts: Maintain and organize receipts and related documentation.

  • Full-time position
  • Starting pay: $17.00 per hour
  • Paid weekly
