Bilingual Administrative Assistant

What you will do:

The Administrative Assistantis responsible for greeting incoming visitors and ensuring all visitors to Seton Center feel comfortable and at ease. The Administrative Assistant gathers all necessary documentation from clients and assists in answering client questions. This position also serves in an administrative capacity to the needs of the Programs Department and other needs across the organization. Reporting to the Senior Program Coordinator, this position models top tier customer service to our Seton neighbors while preserving human dignity.

  • Assist all clients including Spanish speaking clients by using Spanish speaking skills
  • Manage building entry and check in for all Seton’s Programs Department clients
  • Process client intake paperwork
  • Log services in Charity Tracker software
  • Complete clothing closet vouchers and food pantry order slips
  • Take all incoming calls, check all voicemails
  • Answer or redirect questions from clients
  • Point of contact for office supply ordering and food orders for meetings
  • Point of contact for any maintenance needed for items like printing, phones and shredding
  • Collect and disburse incoming mail, send outgoing mail
  • Maintain master calendar
  • Prep materials for meetings and other administrative tasks as needed
  • With a commitment to continuous improvement, this role will ensure the highest level of program excellence and service delivery to our neighbors
  • Represent Seton Center in a positive manner during all internal and external interactions
  • Performs other duties as assigned by Senior Program Coordinator

Qualifications:

  • Bilingual in English and Spanish required
  • Commitment to Seton’s mission statement and values
  • Excellent verbal and written communication skills
  • Excellent organizational skills, time management, and attention to detail
  • Ability to work independently
  • Ability to relate to and work with diverse groups of people
  • Must have the ability to maintain a high level of confidentiality

  • Strong customer service orientation and mindset
  • Competency in a variety of computer applications; knowledge of Charity Tracker, Google Suite, Microsoft Office, etc. preferred; ability to learn these systems quickly if no prior experience
  • Ability to maintain accurate records and statistics
  • Ability to make others comfortable, at ease, and welcomed
  • Ability to manage multiple tasks comfortably
  • Patient and positive attitude when answering phone, fielding inquiries, etc.
  • Willingness to provide support to other departments as needed
  • React well under pressure and accept responsibility for own actions

Education:

  • High School diploma or equivalent years of applicable work experience

Experience:

  • 1+ years of reception or clerical experience

Job Type: Full-Time Temporary Role Non-exempt

Work Location: Seton Center is open Monday through Friday and work will take place on site at Seton Center, 2816 E 23rd Street, Kansas City, MO 64127.

Compensation: $17-21/hr
