Position Information
Functional Title: Corporations Rep I
Reports To: Director/Asst Director/Team Leader
Department: Business & Commercial Services
FLSA Status: Non-exempt
Summary
Responsible for accurately processing corporation filings, notary applications, trademark/service mark applications, annual reports, and franchise tax transactions, including amendments and renewals.
Essential Duties and Responsibilities
Receive, review, and process documents such as corporation filings, notary applications, trademark and service mark applications, franchise tax, and annual reports, received via in person, mail, or online.
Answer inquiries from customers by phone, email, mail, and in person.
Receive payments for fees and penalties.
Create and send documents like certificates, apostilles, and other required documents.
Input data and updates into the computer system and generate reports as needed.
Balance daily cash, credit card, checks, and other payments.
Prepare documents for filing by Records specialists.
Ensure proper imaging of documents.
Prepare daily lists of special requested forms for mailing.
Promote the use of online filing applications.
Be knowledgeable of both in-house and online filing processes.
Physical Demands
Regularly sit, use hands, reach, talk, and hear. Occasionally stand, walk, stoop, kneel, or crouch. Occasionally lift/move up to 10 pounds. Close vision required.
Work Environment
Normal office setting with moderate noise levels. Reasonable accommodations may be provided for disabilities.
Supervisory Responsibilities
This position has no supervisory responsibilities.
Knowledge, Skills, and Abilities
Language Skills: Ability to read, write, and present information effectively. Bilingual skills are a plus.
Mathematical Skills: Ability to perform calculations involving discounts, interest, and percentages.
Reasoning Ability: Apply common sense to carry out instructions and solve problems involving multiple variables.
Minimum Qualifications
Familiarity with web applications, Microsoft Office, and customer service skills.
High school diploma or GED, with 6 months to 1 year of related experience or training.
Licenses
None required; may need to obtain an Arkansas Notary License upon hiring.
