About the Role

We’re looking for a reliable  Assistant Service Coordinator  to help keep our operations running smoothly. In this role, you’ll support the Service Coordinators and Service Manager with technician scheduling, customer

communication

, admin tasks, and ensuring jobs are delivered safely and on-time.

Key Responsibilities

Service Scheduling & Coordination

Assist with scheduling technicians up to 12 months in advance

Match technician skills and licenses with job needs

Track leave and RDOs to keep the team balanced

Build

flexibility

into schedules for urgent work

Customer Support &

Communication

Confirm job details and timing with customers

Provide updates on job progress and outcomes

Address customer concerns or escalate as needed

Follow up on technician referrals, proposals, and quotes

Safety, Compliance & Documentation

Prepare safety documents for all site visits

Record and follow up on Toolbox Meeting actions

Ensure all work complies with OH&S standards

Service Admin & Reporting

Enter job details and updates in our CRM (MS Dynamics FSM)

Coordinate accurate timesheets and payroll records

Track KPIs such as job progress, productivity, and customer feedback

Support invoicing with timely and accurate data handover

Inventory & Materials

Help allocate materials for upcoming jobs

Maintain stock records and assist with ordering

Contracts & Special Services

Manage scheduling under TaaS agreements

Support urgent or non-contracted service requests

Team & Training Support

Assist with onboarding new staff

Help coordinate training and upskilling sessions

What We’re Looking For

Willing to work Australian shift hours

Experience in service admin, scheduling, or coordination

Strong organizational skills and

attention to detail

Clear, professional

communication

Ability to multitask and manage priorities

Experience with

MS Dynamics or similar CRM/FSM tools (a plus)

Team player with a positive, proactive attitude
