Position Overview
Salt Lake Academy is seeking a highly organized, detail-oriented, and professional individual to serve as an Assistant Registrar / Records Officer / HR & Finance Specialist. This multifaceted role is central to the effective operation of the school, supporting student records management, human resources functions, financial processes, and day-to-day school operations.
The ideal candidate is dependable, discreet, and capable of managing multiple priorities in a fast-paced educational environment while maintaining strict confidentiality, accuracy, and professionalism.
Key ResponsibilitiesRegistrar & Student Records Management
- Maintain accurate and compliant student academic records in accordance with state and federal regulations (FERPA).
- Process student enrollment, transfers, withdrawals, and graduation verifications.
- Manage transcripts, report cards, and official records requests.
- Ensure proper documentation and audit readiness for all student files.
- Coordinate with counselors, administrators, and teachers regarding student data and scheduling.
- Support course registration processes and student information system updates.
- Track attendance records and generate required reports.
Records Officer Duties
- Ensure secure storage, organization, and retrieval of all student and institutional records.
- Maintain digital and physical filing systems with high accuracy and accessibility.
- Oversee records retention schedules and ensure compliance with legal requirements.
- Respond to records requests from parents, institutions, and government agencies.
- Assist with audits, compliance reviews, and reporting requirements.
- Implement and maintain best practices in data privacy and security.
Human Resources Responsibilities
- Support HR functions including hiring, onboarding, and personnel records management.
- Maintain employee files and ensure compliance with employment laws and policies.
- Assist with job postings, applicant tracking, interview coordination, and reference checks.
- Process new hire documentation, background checks, and onboarding requirements.
- Track employee certifications, evaluations, and contract renewals.
- Support payroll coordination, benefits enrollment, and leave tracking.
- Serve as a point of contact for staff HR-related questions.
- Maintain strict confidentiality of all personnel matters.
Finance: Accounts Payable & Accounts Receivable
- Process vendor invoices and ensure timely and accurate accounts payable.
- Prepare and track payments, purchase orders, and reimbursements.
- Maintain accurate financial records and documentation for all transactions.
- Manage accounts receivable, including:
- Tuition (if applicable), fees, and other school-related payments
- Monitoring outstanding balances
- Communicating with families regarding payments in a professional manner
- Assist with budget tracking and financial reporting as directed.
- Support audit preparation and ensure compliance with financial policies and procedures.
General Operations Support
- Support daily school operations, including coordination of logistics and internal processes.
- Assist with student services such as enrollment communication and documentation.
- Coordinate with administration on scheduling, events, and operational needs.
- Support compliance with state, charter, and internal policies and procedures.
- Assist with school events, testing coordination, and operational logistics.
- Help ensure efficient communication and workflow across departments.
- Contribute to continuous improvement of systems and operational processes.
Qualifications
- Associate’s or Bachelor’s degree preferred (Education, Business Administration, HR, Accounting, or related field).
- Minimum of 2 years of administrative or operations experience; school-based experience strongly preferred.
- Experience with basic accounting functions (AP/AR) strongly preferred.
- Knowledge of student information systems and HR systems is a plus.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- High level of professionalism, integrity, and confidentiality.
- Proficiency in Microsoft Office Suite and general office technology.
- Spanish or multilingual ability is a plus.
- Ability to work independently and collaboratively in a team environment.
Work Schedule
- 210-day work year aligned with the academic calendar.
- Regular school-day hours with occasional extended hours during peak periods (enrollment, hiring cycles, audits).
Compensation & Benefits
- Salary range: $40,000 – $48,000 annually (based on experience and qualifications).
