Position: Administrative Assistant

Status: Part Time, 20 Hours/Week, Non-Exempt, Hourly

Reports to: Executive Director

The Brainerd Lakes Area Economic Development Corporation (BLAEDC) is a community-driven, non-profit organization created to preserve and enhance the area’s economic base by expanding business, building community and growing jobs in Crow Wing County.

JOB DESCRIPTION

We’re seeking a detail-oriented and proactive individual to join our small, collaborative team. In this role, you’ll manage essential clerical tasks, including coordinating meetings, maintaining filing systems, creating reports, and ensuring smooth communication across the office. A key focus will be crafting and distributing newsletters, managing email communications, and updating content across digital platforms. You’ll also provide administrative support to the Executive Director and Board of Directors, helping to keep everyone informed. CLERICAL

Performs administrative and clerical support for the organization
Keeps orderly, organized, and clean office spaces and coordinate ordering supplies including general niceties for clients and staff, e.g., coffee, water, snacks
Performs routine clerical work as assigned
Answer phones and greet visitors in a professional and timely manner, record and conveys appropriate messages to staff
Retrieve and distribute incoming and outgoing mail
Coordinates meetings and maintains calendars
Establishes and maintains filing systems, both physical and electronic
Manage and maintain records, contracts, organizational documents, etc.
Assists with special administrative projects
Drop off and pick up documents from the bookkeeper

MARKETING

Manage event logistics and coordination including planning with venues, arranging for food, registration, setup, and takedown.
Manage proprietary email list databases in Constant Contact including press & media list for distribution with the independent Communications Consultant.
Maintain and update websites www.growbrainerdlakes.org and www.growcuyuna.org.
Manage, prepare, and distribute content across digital media marketing channels including but not limited to the monthly organization and program newsletter emails and daily social media posts in coordination staff.

BOARD OF DIRECTORS

Manage monthly Board meeting preparation, coordination, and logistics including recording accurate minutes and resolutions
Routine interaction and communication with the Executive Director and Board Members

REQUIRED

Experience in office setting
Microsoft Office Suite (O365) including Word, Excel, Power Point, and Outlook
Very timely, detailed, and process-oriented self-starter
Ability to prioritize and organize a daily workload
Professional level verbal and written communications skills
Must be able to meet deadlines
A proactive approach to problem-solving with strong decision-making skills
Internet browser and search engine use on handheld and desktop devices
Combination of analytical, decision making, and interpersonal skills
Ability to work as a part of a team and under minimal supervision
Strong problem-solving ability and organization skills
Reliable access to a vehicle for occasional travel, including meetings, supplies pickup and delivery

COMPENSATION
This position’s negotiable salary range is $18-$20 per hour, based on experience
Earned Sick and Safe Time (ESST)
Job Type: Part-time
Pay: $18.00 – $20.00 per hour
Expected hours: 20 per week
