The Opportunity
As the Office Assistant, you will provide critical support to both the AP/AR Associate, Human Resources Manager and GM. Your daily responsibilities will span from meticulous financial record-keeping to Payroll. This role requires a "can-do" attitude, and eagerness to learn. You will be a key player in ensuring our financial operations run smoothly and accurately.
Key Responsibilities
Financial Administration:
- Accounts Management: Assist the AP/AR Associate with day-to-day accounts receivable, purchasing, office duties and invoicing tasks.
- Bookkeeping Support: Help balance books and generate financial reports, including aging reports.
- QuickBooks Proficiency: Assist with data entry and financial record maintenance.
Human Resources Support:
- Payroll & Requests: Payroll, Timecard Corrections and policy enforcement.
- Reporting: Build and maintain tracking reports to support HR and administrative functions.
General Skills & Attributes:
- Confidentiality: Handle all sensitive financial and employee information with the utmost discretion and trustworthiness.
- Attention to Detail: Maintain an extremely high level of accuracy and precision in all tasks.
- Interpersonal Skills: Demonstrate empathy and compassion while maintaining professional boundaries when assisting employees with their requests.
- Team Player: Proactively assist colleagues and collaborate effectively with both the AP/AR Associate and the HR Manager to achieve shared goals.
- Problem-Solving: Stay calm and focused under pressure, helping to find solutions and provide assistance with a positive, "can-do" attitude.
What You Bring
- Experience: Proven experience in an office or administrative support role.
- Technical Skills: Proficiency in both QuickBooks and Microsoft Excel is REQUIRED.
- Computer Skills: Exceptional computer literacy across all relevant software and platforms.
- Personal Attributes: A demonstrated history of being trustworthy, detail-oriented, and capable of working in a fast-paced environment.
- Communication: Excellent verbal and written communication skills, with compassionate and professional demeanor.
