Position Summary:
The Intake Specialist will complete initial case assessment and determine presumptive eligibility of families applying for child care services (Stage 1, 2, 3 and CAPP) and help eligible parents gain access to child care services and programs; manage the enrollment process with families to ensure all required documentation is submitted timely including conducting periodic outreaches to active enrollments via phone, mail and email; will manage front desk; provide referrals for licensed child care, as needed; provide denial for ineligible families and providers in accordance to compliance standards; provide quality customer service for all clients and internal support departments, and ensuring accurate and timely entry of data.
Essential Job Functions:
- Manage document collection to ensure all required documentation is submitted timely and accurately, including conducting periodic outreaches to active enrollments via phone, mail and email. Schedule and maintain appointments. Assist clients, as needed, with completing the enrollment process (in-person or via phone).
- Manage switchboard operations including call screening, call forwarding, message forwarding, message retrieval and distribution (Shift includes Mon. 9A-6P, and Tue.-Fri. 8A-5P)
- Perform work to achieve the expected program outcomes, outputs including maintaining or exceeding the program census targets to achieve the Annual Agency Budget targets, participates in the planning, organizing, and direct activities of the Strategic Plan and other Agency projects, on-going assessment data demonstrating consistency in contract compliance.
- Review documents (all incoming mail including new enrollments) submitted for accuracy and completeness on the same day submitted (but no later than 1 business day). Initiate immediate communication with enrollees when documents are not complete or are incorrect; and document actions in the case record. Complete third-party contacts (GAIN, employer, training institutes), as necessary, to assist clients with completing enrollments or to complete necessary verifications. Within 30 days or the childcare request, provide denial of services to those who do not complete the enrollment process or to ineligible families upon discovery.
- Manage TrustLine application/enrollments. Disburse applications when discovery is made of the childcare provider type. Collect application and review for completeness. Update case management database and forward application to local R&R Agency for processing. Track status of TrustLine application with R&R Network.
- Determine eligibility for childcare subsidy programs, process enrollment in compliance with contractual guidelines. Will thoroughly explain the childcare services and enrollment process maintaining quality customer service. Provide excellent customer service to parents and providers by receiving and responding to inquiries, providing resolution. Annotate each inquiry and resolution in the case record. Work with team to conduct outreach activities to achieve and maintain or exceed annual census targets for each program.
Minimum Requirements:
- High School Diploma or equivalent with 4 years’ experience in office and customer service environment; or
- AA degree and 2 years’ experience in office and or customer service environment; or
- Bachelor’s degree and 6 months’ experience in office and or customer service environment.
- Graduate of an accredited school.
Pay: $20.30 – $25.69 per hour
