Position Overview

We are looking for an Administrative Virtual Assistant – Permit Processing to support permit preparation, municipal registrations, and documentation management for construction-related projects across Florida jurisdictions.

This role will focus on reviewing permit applications, preparing permit packages, and submitting documentation using the client’s internal permit processing platform. The ideal candidate is organized, detail-oriented, and comfortable working with structured processes and documentation-heavy workflows.

Key Responsibilities

Permit Application Processing

  • Review client intake forms and supporting documentation.
  • Generate permit documentation using the client’s permit processing platform.
  • Ensure permit packages are complete before submission.

Municipal Registration

  • Register contractors or providers with municipalities when required.
  • Submit permit applications to the appropriate jurisdictions across Florida.
  • Track permit submissions and maintain accurate documentation records.

Platform & Workflow Management

  • Learn and operate the client’s permit processing platform.
  • Maintain task trackers using tools such as Google Sheets and CRM systems.
  • Coordinate with internal teams when required for documentation or system updates.

Administrative Support

  • Maintain organized permit documentation and records.
  • Provide updates regarding permit status and submissions.

Qualifications

  • Previous experience in administrative support, documentation processing, permitting, construction administration, or real estate coordination is preferred.
  • Strong organizational skills and attention to detail.
  • Comfortable working with spreadsheets and CRM systems.
  • Ability to learn and adapt quickly to specialized software platforms.
  • Strong communication and time management skills.
