Description
The Facilities Division is hiring an Administrative Specialist that provides professional administrative support to internal staff and leadership related to an agency’s business operations and performs duties involving general processes and procedures.
Job duties include but are not limited to the following:
- Receives and organizes supplies or equipment and enters data into an internal database that tracks supplies for the Department Armories/FMS Shops statewide.
- Works with staff to ensure orders for supplies are accurate.
- Maintains awareness of the division's needs for supplies statewide.
- Verifies receipts of supplies received by the Department Armories/FMS shops.
- Coordinates processing of payment documents for supplies.
- Tracks and maintains a supply record to ensure budgetary compliance.
- Receives and reviews deliveries IAW FAP 120-20-0 and department policy.
- Develops and maintains a perpetual internal database of all expendable items.
- Monitors and tracks usage and recommends on hand stock amounts.
- Responsible for the management and accountability of the Department leases, owned vehicles, and equipment to include title, registration and insurance.
- Maintains a computerized tracking system for repairs and costs to vehicles and equipment.
- Advises Dept staff on proper turn-in or disposal of the Dept surplus property IAW the Finance Cabinet's surplus property guidance, federal cooperative agreements and Dept policy.
- Ensures items for turn-in are entered into the Finance Cabinet's Surplus Property database as well as eMARS.
- Responsible for maintaining and organizing the division's property management section.
Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
