Position Overview
We’re looking for a detail-oriented and proactive Administrative & Payroll Coordinator to support our daily office operations while playing a key role in payroll administration. This position is ideal for someone who enjoys balancing front-office responsibilities with behind-the-scenes accounting and payroll work.
You’ll be the first point of contact for visitors and callers, while also ensuring payroll is processed accurately and in compliance with all applicable regulations.
What You’ll Do
Administrative & Office Support
- Answer and route incoming calls
- Greet and assist customers, vendors, and visitors
- Manage incoming/outgoing mail and packages
- Maintain office organization, supplies, and equipment
- Support daily office operations and data entry
- Help keep shared spaces clean, organized, and professional
Payroll Responsibilities
- Process employee wages, bonuses, and deductions accurately
- Manage timekeeping, including overtime tracking and approvals
- Ensure compliance with federal, state, and local wage laws
- Handle payroll tax deposits and reporting
- Maintain confidential payroll records
- Manage certified payroll and new hire reporting
- Coordinate prevailing wage compliance, including Davis-Bacon requirements and the Intents and affidavits process
- Subcontractor communication
- Assist employees with payroll-related questions
Accounting Support
- Assist with light bookkeeping tasks
- Prepare project folders for project managers
- Support quarterly and year-end filing and organization
- Maintain accounts payable records and documentation
What We’re Looking For
- At least 1 year of customer service or related experience
- Strong math, organizational, and analytical skills
- High attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to handle confidential information with professionalism
- Self-starter with strong problem-solving skills
- Comfortable working independently and as part of a team
Preferred Qualities
- Experience with payroll processing especially in construction or prevailing wage environments
- Strong organizational and time-management skills
- Positive, professional attitude and team mindset
Physical & Work Environment
- Fully in-office role
- Frequent computer use and extended sitting
- Use of standard office equipment

Pay: $23.00 – $27.00 per hour
