Responsibilities
• Greet and assist all company visitors, manage visitor registration, and answer incoming calls.
• Update internal data such as staff asset list, locker key etc.
• Handle company courier and postage.
• Monitor & purchase office stationery and office’s supply and follow up until delivery complete.
• Maintain the general filing system and collect receipts for corporate card expenses, as well as other related
team documents.
• Gather and prepare reports on expenses such as electricity, monthly mobile phone bills, and other relevant costs.
• Coordinate with building management and external service providers for office maintenance and facility-related matters.
• Regularly check and ensure the office environment is in good condition, including office equipment, lighting, and work areas, as well as monitor housekeeping services to ensure cleanliness and orderly work.
• Assist in preparing and processing Visa, Work Permit, SSO, Tax ID, 90 days report for foreign employee.
• Assist new foreign employee in opening bank account.
• Assist in organizing business travel arrangement such as air ticket, accommodation, travel insurance,
travel visa, etc.
• Assist in organizing company activities such as monthly activity, townhall, anniversary, company outing etc.
• Other tasks as assigned by supervisor.
Education
• Bachelor’s degree in any field
Qualifications
• Minimum 1 year experienced in admin officer or related field, a new graduate is also welcome.
• Good command of English.
• Be attentive to accuracy, work with strong attention to detail, and maintain strict confidentiality of all information.
• Proficient in Microsoft Office (Word, Excel, PowerPoint) and general office software.
• Good personality, good interpersonal skills, team player, service-minded, proactive, and strong in problem-solving with a can-do attitude.
• Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures.
• Strong coordination, organizational, and multitasking skills, with the ability to manage multiple priorities effectively.
• Able to work outside office.
