Valley Electrical Contracting is looking for a service focused Administrative Assistant to provide support to our employees and, most importantly, our clients. This role involves not only handling administrative tasks, but also ensuring our clients receive high quality customer service every time they interact with us. You will play a critical role in managing client communications, maintaining smooth office operations, and supporting various administrative functions to enhance team productivity.

Responsibilities:
- Serve as the first point of contact by answering and directing phone calls professionally, with a focus on delivering high quality customer service.
- Assist customers with inquiries while providing attentive and proactive communication to ensure a positive experience.
- Organize and schedule appointments for customers, managers, and team members, balancing multiple calendars effectively.
- Prepare and distribute client correspondence, emails, memos, and forms with professionalism and attention to detail.
- Assist with updating and maintaining internal compliance tracking spreadsheets.
- Assist in recruiting efforts including career fair coordination, review of incoming resumes, applicant data tracking, and interview schedule coordination.
- Provide administrative support to the HR department as needed.
- Maintain and update a client focused filing system for easy access and efficient record keeping.
- Order and manage office supplies, anticipating office and client needs.
- Coordinate travel arrangements for team members as needed to ensure seamless project success.
- Perform other administrative duties as needed.
Skills:
- Proven experience as an administrative assistant or in a client facing support role.
- Strong customer service skills, with the ability to remain calm, confident, and attentive in client interactions.
- Knowledge of office management systems and procedures.
- Proficiency in Microsoft Office including Outlook, Word, Excel, Access, and Teams.
- Excellent time management, prioritization, and multitasking abilities.
- Detail oriented, with excellent written and verbal communication skills.
Experience:
- Two or more years of administrative and customer service experience required.
- Two or more years of experience using Microsoft Office preferred.
- Experience providing administrative support to Human Resources preferred.
- Prior experience in the electrical construction or building automation industries is beneficial but not required.
Education:
- High school diploma required; additional education or formal training in business or administration preferred.
