We are seeking a dedicated and highly organized Administrative Coordinator to support the daily operations of our Adult Day Care Center. The ideal candidate will possess strong office management skills, excellent communication abilities, and a proactive approach to administrative tasks. This role is vital in ensuring smooth center operations, providing exceptional customer support, and maintaining an efficient environment for staff and participants alike. The Administrative Coordinator will serve as the first point of contact for visitors and callers, manage scheduling, and oversee essential clerical functions to promote a welcoming and well-organized setting.

Duties

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing courteous customer support.
  • Maintain accurate data entry and filing systems using Microsoft Office, Google Workspace, and other relevant software tools.
  • Oversee calendar management for staff schedules, appointments, and center activities to ensure timely coordination.
  • Perform bookkeeping tasks utilizing QuickBooks for billing, invoicing, and expense tracking while ensuring financial accuracy.
  • Support office management functions such as supply ordering, inventory control, and maintaining a clean, organized workspace.
  • Proofread correspondence, forms, and reports to ensure clarity and professionalism before distribution.
  • Assist with clerical duties including typing documents, data entry, filing records, and managing office documentation.
  • Provide exceptional customer service by addressing inquiries promptly and maintaining professional phone etiquette on a multi-line system.
  • Collaborate with team members to streamline administrative processes and enhance overall office efficiency.

Requirements

  • Proven experience in office management or administrative roles within healthcare or community service settings.
  • Strong proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and QuickBooks.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Bilingual ability is highly desirable to serve diverse participant populations effectively.
  • Demonstrated clerical experience with data entry, filing systems, proofreading, and document management.
  • Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer support.
  • Knowledge of bookkeeping practices and basic financial management tools such as QuickBooks is preferred.
  • Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail.

Qualifications

  • High School Diploma required; Associate’s Degree preferred.
  • Minimum 2 years of administrative experience.
  • Experience in healthcare, adult day care, home health, or related field preferred.
  • Strong organizational, communication, and multitasking skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Bilingual English/Spanish preferred.

Pay: From $16.00 per hour
