As we grow, we’re adding a key role that sits at the center of our office operations and sales support — and we need the right person to own it.
The Role
As our Administrative Coordinator, you’re the connective tissue between our sales team, our office, and our customers. You’ll make sure no lead goes unworked, no customer gets forgotten, and no task goes unfinished. This isn’t a role where you wait to be told what to do — you’ll be the one who spots the gap and closes it.
You’ll work closely with office leadership to keep our CRM accurate, our pipeline visible, and our sales reps supported — while also being the first voice customers hear when they call. Detail, urgency, and follow-through are the core of this job.
Key Responsibilities
Customer Service & Front Office
- Answer incoming calls and serve as the first point of contact for customers — professional, warm, and responsive every time
- Greet walk-in customers and manage the company email inbox
- Route inquiries appropriately and ensure nothing sits unanswered
CRM Management & Sales Support
- Maintain and audit our CRM (JobNimbus) daily to ensure all customer records are accurate and up to date
- Conduct regular CRM audits and pull reports that show leadership exactly where customers stand and what needs attention
- Identify customers who have gone cold or been overlooked and flag them for follow-up
- Assign incoming leads to sales reps and track that they’re being actively worked
- Monitor lead response times and surface delays or gaps to management — you flag, you don’t enforce
- Keep the lead sheet updated and the pipeline organized and visible
Administrative & Operational Support
- Enter job completion details into JobNimbus
- Submit manufacturer warranties through online portals
- Obtain permits and manage proper permit closeout
- Assist with subcontractor compliance tracking (COIs, workers’ comp documentation, etc.)
- Keep office supplies and sales materials stocked and organized
- Maintain a clean, presentable office environment
- Run company errands as needed
Reporting & Visibility
- Provide regular updates to leadership on lead activity, follow-up status, and CRM health
- Proactively communicate gaps, delays, and missed opportunities before they become problems
- Help leadership stay informed without having to dig for information
This role includes remote Saturday availability for calls and texts, as well as during active storm events. For a roofing company in South Louisiana, storm season is our busiest time — and this position plays a key role in making sure no customer goes unanswered when it matters most.
What We’re Looking For
Required
- 1–3 years of experience in administrative, customer service, or sales support roles
- Outstanding phone presence and customer communication skills — this is non-negotiable
- Highly organized with sharp attention to detail
- Strong computer skills — you’re comfortable learning new systems and navigating data
- Proficient in Google Workspace (Docs, Sheets, Gmail, Drive) and Microsoft Office
- Able to manage multiple priorities in a fast-moving environment without losing accuracy
- Coachable, dependable, and proactive — you don’t wait to be told twice
- Reliable vehicle and valid driver’s license for occasional errands
Nice to Have
- Experience with CRM systems (JobNimbus or similar)
- Background supporting a sales team or working in a sales-adjacent role
- Construction or home services industry experience
