The Opportunity

Reporting to the Supervisor – Administrative Services, Planning, Engineering and Regulatory Services, providing full administrative support for all divisions within the Department of Planning, Engineering and Regulatory Services.

Accountabilities

  • Prepare reports, correspondence and required documentation in support of departmental operations.
  • Creation and updating of Excel spreadsheets and/or Word Documents.
  • Intake of information for the processing of Building/Development applications, permits, contractor licenses and payments under the guidance of Building Inspectors.
  • Provide information when required in support of the Citizen Service Centre.
  • File management – maintaining both paper and electronic records management systems.
  • Complete a variety of forms including purchase orders/requisitions, cheque requisitions, work authorizations and licenses/permits/tickets for approval.
  • Receive, open, time/date stamp and distribute department/divisional mail.
  • Provide the general public with information regarding Departmental programs.
  • Create Calendar of Events, Public Notices and Ads on the City’s website and update them accordingly.

The successful applicant will be required to participate in all training programs applicable to this position and other related work. Qualifications

Education – Must be a high school graduate. Must have successfully completed a two (2) year Office Administration program or equivalent from a recognized educational institution.

Relevant Experience – Three (3) years’ experience in a position with similar duties and responsibilities. Proficiency in data entry, typing, filing, spreadsheets and word-processing is required coupled with the ability to multi-task a variety of processes at once.

  • Professional customer service skills.
  • Strong organizational, multi-tasking and time management skills with high attention to detail.

An equivalent combination of education and experience may be considered at the discretion of the City

Working Conditions

  • Office environment that is centered within a working team.
  • High paced environment with many interruptions that shift priorities daily.
  • Interaction with the public on the phone and in person.

Physical Requirements

  • Read and sit for an extended period.
  • Must have finger dexterity/grasping ability to operate issued equipment/devices, and a computer.

Hours of Work

Monday – Friday

9:00 a.m. to 4:30 p.m.
