Our client Recruit AI is looking for a Administrative Assistant in Islamabad

We are seeking a highly proactive, business-savvy Executive Assistant (EA) to act as the primary

gatekeeper and operational partner to the Director/Founder. With an overall organization of 60+

people, the leadership team requires an EA who doesn’t just take direction, but anticipates needs,

manages communication flows, and intercepts minor operational issues before they escalate.

Responsibilities

Key Responsibilities

  • Email & Communication Triage (The Gatekeeper)

Manage, sort, and prioritize the Director’s inbox, responding on their behalf where appropriate.

Identify high-priority items requiring immediate attention and filter out noise.

Ensure no communication with clients, partners, or senior staff falls through the cracks.

  • Team Coordination & Issue Interception

Act as the first point of contact for the senior leadership team, gathering updates and filtering queries

before they reach the Director.

Track ongoing projects across different business units, ensuring deadlines are met and senior staff are

held accountable to their KPIs.

Identify "small problems" in daily operations, investigate them, and either resolve them independently

or present them to the Director with 2–3 viable solutions.

  • Task & Calendar Management

Own the Director’s daily and weekly schedule, ensuring meetings are lean, purposeful, and aligned with

core business priorities.

Maintain and ruthlessly prioritize the Director's master to-do list, moving tasks forward and

administrative actions off their plate.

Prepare briefing materials, agendas, and context ahead of all critical meetings.

  • Administrative Excellence

Draft professional correspondence, proposals, and internal memos.

Organize and maintain digital filing systems, documentation, and action items from leadership meetings.

Qualifications & Skills

Experience: 1-2 years of experience as an Executive Assistant, Operations Coordinator, or Project

Manager, preferably supporting an entrepreneur or working across multiple business units.
