Job Summary
The Administrative Assistant for Student Success & Title III Programs supports the daily operations of the Title III grant and the Office of Student Success. This role provides comprehensive administrative and clerical support to the Project Director, program staff, and students. The position plays a key part in student engagement, communication, retention efforts, and the coordination of program activities.
Responsibilities
Administrative & Clerical Support

Provide day-to-day administrative assistance to the Project Director and Student Success/Title III staff.

Manage student check-in, greet visitors, and serve as the first point of contact for the office.

Contact students to schedule appointments, tutoring sessions, or supplemental academic support.

Compose, edit, and proofread outgoing correspondence, announcements, and internal communications.

Open, sort, and distribute incoming mail as needed.

Maintain the office calendar, including meetings, workshops, and student appointments.

Create, update, and manage dynamic forms for departmental use.
Program & Office Operations

Support daily Title III program activities and ensure smooth workflow across Student Success initiatives.

Maintain a tracking log for correspondence, student engagement, service requests, and follow-up actions.

Supervise and provide direction to work-study students assigned to the office.

Assist with maintaining organized digital and physical filing systems.
Communication & Retention Support
- Work within Elements 451 to support communication plans, outreach campaigns, and retention strategies.
- Assist with drafting, scheduling, and monitoring communications to students.
Event & Workshop Coordination
- Oversee event planning tasks for Student Success and Title III workshops.
- Schedule rooms, coordinate logistics, order supplies, and prepare materials.
- Distribute and collect evaluations or feedback forms following events.
Budget & Record Management

Maintain a ledger of program expenses and assist with reconciling budgets.

Track purchases, invoices, and financial documentation in accordance with institutional and grant guidelines.

Qualifications
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency with office software and willingness to learn new platforms (including Elements 451).
- Ability to work independently and collaboratively in a student-centered environment.
Key Competencies
Data Management & Reporting: Ensures accurate data entry, maintains data integrity, and produces clear reports using Excel, Banner, and CRM dashboards.
- Technical Proficiency: Demonstrates strong skills in Microsoft Office (Excel, Word, Outlook, Teams), Banner navigation, and CRM systems for tracking, communication, and workflow management.
- Customer Service & Communication: Provides responsive, student¿centered support with clear communication, problem¿solving, and a professional, service¿oriented approach.
- Organization & Administrative Efficiency: Manages multiple priorities, maintains detailed records, supports office operations, and improves processes to enhance student success services.
