Job Description:

Provide administrative support to the Street Department staff in the form of financial management of construction projects, payments to contractors, consultants, testing firms, and others that apply to the Street Department. Prepares documents and keeps accurate records when applying, managing, tracking, and submitting reimbursements on the local Government Road Funds for the Annual Mill & Overlay Grant from the State of New Mexico. Provides oversight of payroll processing by organizing timesheets and preparing for entry into the payroll system; ensuring accuracy of information, accountability, and all necessary proper documentation, such as as leave authorized forms are completed and signed by appropriate personnel and are included with the timesheets before submission according to the City regulations. Prepares Personnel Action Forms as directed by the Street Superintendent. To maintain and keep an accurate record of such files. Performs highly responsible clerical duties as assigned for the Street Department, such as; maintaining the executive calendar and itinerary schedules. Coordinates travel and schedules Traffic Control certification, equipment, safety training, etc. for departmental staff and keeps track of safety hours for all employees. Maintains inventory of office supplies. Obtains estimates for ordering purposes. Types and composes correspondence, reports, forms and other material from notes, copy and rough draft. Maintains records of the capital assets lists for the Street Department’s vehicles, equipment, etc.

STARTING HOURLY PAY
: $18.48 P/H


MINIMUM REQUIRED QUALIFICATIONS

  • High School Diploma or equivalent, (GED), supplemented with no less than two (2) years of computer and/or business courses or technical school level.
  • Five (5) years of experience in a progressively responsible administrative support position. Education can be considered in place of one (1) year of experience.
  • Must be able to pass skills aptitude test of 45 wpm. (Must be submitted with application).
  • Must pass computer proficiency test upon application for position.
  • Valid driver’s license (state of residence). Must meet City’s insurability requirements.


Other Conditions:

  • Must pass a background check.


PREFERRED QUALIFICATIONS

  • New Mexico Notary Public Commission or ability to obtain within three (3) months of hire.
  • Customer Service Skills
  • Familiarity with Microsoft Word and Excel Spreadsheets.
