We are seeking an energetic, organized, and customer-focused Admin/Scheduler to join our growing HVAC and Plumbing team. This position serves as the first point of contact for our customers, technicians, and office staff, making exceptional customer service and strong communication skills essential. Responsibilities

Customer Service & Communication

  • Answer and manage multi-line phone systems professionally and courteously.
  • Serve as the primary point of contact for customers and technicians.
  • Direct inquiries to the appropriate team members and ensure customer needs are addressed promptly.

Scheduling & Dispatching

  • Schedule estimates, tune-ups, and installation appointments.
  • Dispatch installers according to customer needs and scheduling requirements.
  • Assist and provide backup support to the service dispatcher as needed.

Administrative Support

  • Maintain customer records and manage filing of active and archived customer folders.
  • Perform accurate data entry and update customer profiles.

Membership & Service Agreement Management

  • Schedule membership-related tune-ups and services.
  • Maintain accurate records of customer memberships and agreements.

Customer Follow-Up & Collections

  • Follow up with customers regarding repair and installation estimates.
  • Contact customers regarding outstanding balances and collect payments.

Warranty Processing

  • Process manufacturer warranties and applications.
  • Track and maintain documentation related to equipment and part warranties.

Team Support

  • Provide administrative assistance to office staff and management as needed.
  • Support company operations to ensure smooth daily workflow.

Home Shows & Community Events

  • Assist with planning, organizing, and preparing materials for home shows, trade shows, and community events.
  • Coordinate event logistics, marketing materials, promotional items, and lead-tracking processes.
  • Attend home shows and community events as a company representative, engaging with potential customers and promoting company services.
  • Collect and organize event leads and ensure timely follow-up after events.

Qualifications

Required

  • Minimum 2 years of experience in an administrative, scheduling, customer service, or dispatch role.
  • Strong organizational and time-management skills.
  • Excellent computer, verbal, and written communication skills.
  • Proficiency in Microsoft Office Suite and QuickBooks
  • Reliable transportation.
  • Ability to prioritize multiple tasks and work efficiently under pressure.

Preferred

  • Experience with ServiceTitan software.
  • HVAC and/or plumbing.
  • Previous dispatching experience.
