This position will not convert to a full-time employment opportunity. The is seeking to hire someone that is only seeking a part-time position.

Compensation is based on experience, starting @ $22.00, per hour.

We are seeking a proactive and organized Part-Time Administrative Assistant to support the CEO with a wide range of executive administrative tasks. This dynamic role offers the opportunity to work closely with senior leadership, ensuring smooth daily operations and effective communication. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a positive attitude, contributing to a productive and efficient executive office environment. This position is perfect for someone looking to make a meaningful impact while balancing flexible working hours.

Duties

  • Manage and coordinate the CEO’s calendar, scheduling meetings, appointments, and business travel arrangements with precision using tools like Microsoft Outlook Calendar and Google Workspace.
  • Handle internal communication by drafting, proofreading, and transcribing emails, memos, and reports to ensure clarity and professionalism.
  • Organize and plan events, meetings, and conferences, including logistics, venue arrangements, catering, and materials preparation.
  • Maintain confidentiality when handling sensitive information related to business operations or personnel matters.
  • Support bookkeeping tasks such as data entry in QuickBooks, invoicing, expense tracking, and basic bookkeeping duties.
  • Assist with office management responsibilities including filing, front desk duties, managing multi-line phone systems, and overseeing office supplies inventory.
  • Facilitate project coordination by tracking deadlines, preparing reports, and collaborating with team members on various initiatives using productivity software like Microsoft Office and project management tools.

Skills

  • Proven experience as an administrative assistant or personal assistant supporting C-suite executives or senior management.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Excellent written and verbal communication skills with attention to detail for proofreading and transcription tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and video conferencing software such as Zoom or Microsoft Teams.
  • Familiarity with QuickBooks for bookkeeping and basic financial management tasks.
  • Experience in event planning and organizing corporate meetings or functions from start to finish.
  • Ability to handle confidential information discreetly while demonstrating professional phone etiquette.
  • Technical proficiency in managing calendars via Microsoft Outlook Calendar or similar tools; adept at managing multiple priorities simultaneously.
  • Strong collaboration skills for working effectively with internal teams and external vendors or partners.
