Overview:
We are seeking a highly organized and motivated individual to fill our Administrative Assistant – Operations Support position within our Reno, NV office. The ideal candidate is a self-starter with strong communication skills, the ability to multitask, and a desire to support a fast-paced operations environment.
This role provides administrative and operational support across multiple divisions, working closely with the Service Manager, Project Managers, and field teams to ensure efficient coordination of service work, project setup, and documentation.

Positions Responsibilities
:
  • Provide general administrative support to the Service Manager and operations team
  • Assist multiple departments including service, installation, and project coordination
  • Answer phones and assist with customer inquiries, scheduling, and job status updates
  • Maintain organized digital and physical job files and documentation
  • Assist with scheduling coordination, project administration/project management tasks, and support for field technicians
  • Track service tickets, inspections, and maintenance activities
  • Ensure service documentation and reports are complete and properly filed
  • Assist with preparation of service quotes, work orders, and follow-ups
  • Assist with new job setup in company systems and internal tracking tools
  • Create and maintain job folders, project documentation, and tracking logs
  • Support coordination of permits, inspections, and compliance requirements
  • Provide administrative support to Project Managers during project startup
  • Coordinate with vendors for materials, documentation, and order tracking
  • Maintain inspection reports, service records, and project documentation
  • Assist with documentation required for inspections, audits, and project closeouts
  • Performs other duties as assigned

Position Requirements:
Candidate must have proven experience in several of the following disciplines:
  • High school diploma or equivalent
  • 1–3 years of administrative or office support experience
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong communication and customer service skills
  • Ability to support multiple priorities in a fast-paced environment
  • Friendly and Professional demeanor
  • Strong interpersonal and communication skills and the ability to work with customers and employees at all levels of the organization.
  • Experience in low voltage, construction, or service-based industries
  • Familiarity with service scheduling, dispatching, or technician coordination
  • Experience with project documentation, management/administration, work orders, or service ticket systems
  • Exposure to inspection, compliance, or regulated environments (helpful but not required)
  • SAGE 300 CRE experience a plus
  • Must clear a background/credit check, drug test, and have a valid driver’s license and driving record that meets Company requirements.
