Job Summary
We are seeking a bilingual, reliable and organized Administrative Assistant to join our team. This role is essential to the smooth operation of both our office and sales department. The ideal candidate will assist with a variety of administrative tasks, support the sales with day-to-day coordination, and help ensure our operations run efficiently.
Administrative Support
Answer and direct incoming calls and email
Schedule meetings and manage calendars
Maintain digital and physical filing systems
Monitor shared inboxes and respond to general inquiries
Order office supplies and maintain inventory
Assist with internal documentation and reporting
Sales Support
Assist in coordinating sales activities such as preparing quotes, following up with clients, and managing CRM entries
Track incoming leads and assist with follow-ups
Maintain customer records in CRM
Liaise with internal team members to support ongoing sales and operational needs
Prepare reports and summaries for team meetings
Nice-to-Have Skills
Familiarity with Zapier or other workflow automation tools
Experience using CRM platforms MethodCRM
Comfortable working with tools like Google Workspace, Slack, Monday.com

Qualifications
1–3 years of experience in an administrative, sales support, or office coordination role.
Strong clerical skills with attention to detail and accuracy in data entry.
Proficiency in Google Suite (Docs, Sheets, Slides) and other office software.
Excellent proofreading skills with the ability to spot errors and inconsistencies.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Effective communication skills, both written and verbal, to interact professionally with clients and team members in English and French.

Job Type: Full-time
Pay: $19.00-$21.00 per hour
Expected hours: 35 per week
