Position Overview

We are seeking a highly organized and motivated Administrative Assistant Manager to support daily office operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and can effectively coordinate between office staff, field crews, customers, and vendors.

Key Responsibilities

  • Answer and manage incoming calls, emails, and customer inquiries
  • Schedule and confirm appointments with clients and vendors
  • Order materials, coordinate permits, and follow up on project needs
  • Maintain professional communication across phone, text, and email
  • Manage filing systems (digital and physical)
  • Assist with invoicing, reports, and general bookkeeping (AP/AR)
  • Support job costing, payroll, and timesheet tracking
  • Maintain office procedures and improve administrative processes
  • Assist with inventory tracking and yard materials
  • Support rental management (homes, RV/boat storage, leases, payments)
  • Act as a point of contact for internal staff and external clients

Qualifications

  • 2+ years of administrative or office management experience preferred
  • Strong organizational and multitasking skills
  • Excellent communication (written and verbal)
  • Detail-oriented with strong problem-solving abilities
  • Proficient in Microsoft Office (especially Excel) and QuickBooks
  • Experience with bookkeeping, job costing, or AP/AR is a plus
  • Ability to work independently and as part of a team
