Nature of Work: The Administrative Assistant III performs complex administrative and secretarial duties requiring independent judgment, discretion, and knowledge of office procedures and departmental operations. This position will work within the purchasing component of the MDTA Police Quartermaster Unit. The incumbent serves as support to supervisory staff and coordinates administrative activities related to purchasing, invoice processing, and office operations.

Duties for this position include, but are not limited to, the following:
  • Process and prepare purchase orders for meal chits and invoices;
  • Process and coordinate supplies, materials, and equipment requests;
  • Utilize the State Purchasing Card to process and reconcile monthly invoices;
  • Review, track, and process vendor invoices to ensure timely payment;
  • Work closely with Finance personnel regarding invoice payments and purchasing activities;
  • Sort and distribute mail and monitor the Quartermaster email account;
  • Reconcile monthly credit card logs and related purchasing documentation;
  • Maintain files, records, and correspondence related to purchasing and administrative operations; and
  • Provide support for other administrative functions and duties as directed by the Quartermaster Commander.
The incumbent in this position will report to the MDTA Police First Sergeant or other designated official. The current vacancy exists in Baltimore County, Maryland. Hybrid telework schedules may be available for this position. This recruitment may be used to fill future vacancies throughout the Maryland Transportation Authority (MDTA).

Qualifications

MINIMUM QUALIFICATIONS:Education: Graduation from a standard high school or possession of a high school equivalency certificate.


Experience:
Five years of experience in secretarial work.

  • Applicants may substitute additional secretarial or clerical experience on a year-for-year basis for the required education.

  • U.S. Armed Forces military service experience as defined under the minimum qualifications may be substituted for the required education and experience on a year-for-year basis.
