This is an exciting time to work for Amarillo College! We are seeking our next Part-Time Administrative Assistant who will be all-in on our mission and who provides administrative and clerical support to the Student Life Department. This position assists with the daily operations of the office and helps ensure efficient and effective departmental processes. Responsibilities include greeting visitors, answering phones, processing paperwork, maintaining records, assisting with events, and supporting Student Life staff with various administrative tasks.

Qualifications

EDUCATION:
Required: High School Diploma or GED.

Preferred: Associate’s Degree.

EXPERIENCE:
Required: Two (2) years of administrative assistant or clerical experience.

Preferred: Three (3) years of administrative or clerical experience in higher education or a related environment.

Job Duties & Responsibilities

  • Provide general administrative and clerical support to the Student Life Department.
  • Answer phones, greet students and visitors, and direct inquiries to the appropriate staff member or campus department.
  • Maintain departmental files, records, and databases, ensuring information is organized, accurate, and up to date.
  • Assist with preparing reports, correspondence, spreadsheets, and presentations.
  • Coordinate meetings, reserve rooms, schedule appointments, and prepare meeting agendas and materials.
  • Assist with the planning, coordination, setup, execution, and teardown of Student Life events, programs, and activities.
  • Support student engagement initiatives by assisting with event logistics, promotional materials, and participant communication.
  • Process incoming and outgoing mail and assist with tracking deliveries and packages.
  • Maintain inventory of office supplies, promotional items, and event materials.
  • Assist with purchasing requests, expense documentation, and departmental financial tracking in accordance with College procedures.
  • Maintain departmental calendars and assist with coordinating departmental activities.
  • Assist with collecting and compiling program participation data and preparing reports related to Student Life activities.
  • Provide support for student clubs and organizations by assisting with administrative processes, documentation, and event coordination.
  • Maintain confidentiality of student and institutional information in accordance with FERPA and College policies.
  • Serve as a point of contact for internal and external stakeholders seeking information about Student Life programs and services.
  • Assist with onboarding student workers or volunteers by providing basic administrative guidance and documentation support.
  • Support departmental initiatives and assist other campus departments as needed.
  • Participate in departmental meetings, training sessions, and campus activities.
  • Perform other work-related duties, as assigned.

Salary:
Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long-term growth within each position.

Pay grade 6 Amarillo College Pay Grades (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies up to twenty-five (25) pounds as needed.

Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary).

Work Environment: This position operates in a professional office setting with frequent interaction with students, staff, and campus visitors. Standard office equipment such as computers, telephones, copiers, and filing systems are regularly used. The environment may involve a high volume of activity and periodic interruptions.
