Dynamic, growing, top Sacramento area construction company
seeks Administrative Assistant & Full Charge Bookkeeper with at
least 10 years of experience.
Experience in the construction or professional service industries is
required.
Responsibilities include full charge bookkeeping, shared supervision
of Executive Administrator / Bookkeeping Assistant, financial
analysis, project accounting, job costing and profitability analysis,
collections, budgeting, client contract and estimate preparation,
financial statement review with partners and cash flow projections.
The role also requires demonstrated skills and experience in
interactions and negotiations with customers, suppliers, CPA,
bankers, HR professionals and employees.
Additional responsibilities may include supervision of employee
Benefit coordination, time tracking monitoring, 401k liaison and
information management, PTO calculations, and payroll.

Main Job Tasks and Responsibilities
- Answer multi-line telephone system, screen, direct calls, and relay messages
- Create and maintain personnel roster and phone list
- Handle phone and email customer inquiries, incoming RFQ and order requests
- Acknowledge receipt of inquiry to customer, copying necessary parties, including supervisor
- Research required information using available resources; source for best price
- Determine appropriate freight costs
- Prepare the quote/proposal and all related paperwork
- Process orders received
- Prepare shipments as needed
- Follow up on customer calls and any backordered items
- Manage and resolve customer complaints; identify and escalate priority issues
- Enter new customer information into system
- Update existing customer information
- Reconcile orders with shipments and invoices
- Maintain daily tracking log
- Produce weekly production reports
- Perform account maintenance activities including creating invoices through QuickBooks, entering job costs, AR, AP, Aging reports
- Administrative support as needed
- Other duties as may be assigned
Education and Experience
- High school diploma required; Bachelor Degree preferred
- Knowledge of Quickbooks
- Knowledge of administrative and clerical procedures
- Knowledge of computers and relevant software application
- Microsoft Office and email software
- Knowledge of customer service principles and practices
- Ability to work a phone system

- Excellent listening skills and the ability to ask probing questions, understand concerns, and overcome objections
- Strong work ethic and self-starter, able to effectively manage multiple priorities and adapt to change within a fast-paced business environment
- Must possess a professional and friendly attitude and be able to quickly develop a rapport with customers over the phone
- Must possess and be able to demonstrate strong influencing and closing skills
- Ability to learn and navigate new software quickly
- Ability to type 40 wpm+
- Previous in-bound sales experience a plus, but not required
