We are seeking a friendly, organized, and dependable Administrative Assistant / Customer Service Representative to join our growing team. This position serves as the first point of contact for our clients and plays a vital role in creating a positive customer experience.
What You’ll DoCustomer Service & Reception
- Greet clients and visitors with a friendly, professional attitude.
- Answer incoming phone calls and assist clients with service requests.
- Schedule appointments for agents and staff.
- Help clients obtain insurance ID cards and policy information.
- Follow up on client questions and service needs.
- Provide excellent customer service both in person and over the phone.
Client Account Support
- Update and maintain accurate client records.
- Document client interactions and account changes.
- Contact clients regarding missing information or missed premium payments.
- Verify and maintain client contact information.
Administrative Support
- Scan and upload documents into agency systems.
- Maintain electronic client files and records.
- Process incoming and outgoing mail.
- Prepare client correspondence, including birthday cards, thank-you cards, sympathy cards, and holiday greetings.
- Assist with office projects and daily operations.
Enrollment Season Support
- Assist with Medicare Annual Enrollment Period (AEP) and Marketplace Open Enrollment activities.
- Contact current clients to verify information and schedule appointments.
- Support agents with administrative tasks during busy enrollment periods.

Preferred Qualifications
- Administrative assistant, receptionist, or customer service experience.
- Insurance industry experience.
- Medicare, health insurance, or benefits knowledge.
- Experience with CRM or agency management software.

Schedule
Our office maintains regular business hours throughout most of the year.
Additional hours may be required during Medicare and Marketplace Open Enrollment seasons (October–December). Greater scheduling flexibility is typically available during other times of the year.
