Position Overview:
We are seeking a detail-oriented, organized, and proactive Administrative Assistant to join our team on a full-time basis. This is an entry-level position with strong growth potential, ideal for someone looking to build a career in construction administration, project coordination, and government contracting.
Key Responsibilities:
- Provide day-to-day administrative support to office staff, project managers, and leadership
- Answer, screen, and direct phone calls, emails, and other correspondence professionally
- Maintain and organize digital and physical filing systems for projects and company records
- Assist in the preparation, tracking, and submission of project documents, including submittals and closeout packages
- Support documentation for federal and government projects, ensuring compliance with contract requirements
- Track and maintain Certificates of Insurance (COIs), ensuring all policies are current and compliant with contract requirements
- Monitor and maintain vehicle registrations, insurance, and related documentation to ensure company compliance
- Run and review Accounts Payable (AP) reports weekly, assisting with internal tracking and coordination
- Assist with data entry, document control, and maintaining accurate project logs
- Coordinate with vendors, suppliers, and clients as needed for documentation and follow-ups
- Greet visitors and serve as a professional point of contact for clients and partners
- Perform additional administrative and clerical tasks as needed to support smooth daily operations
Qualifications:
- High school diploma or equivalent (some college coursework preferred)
- Strong organizational skills with attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with learning new software
- Excellent written and verbal communication skills
- Ability to prioritize tasks and manage time effectively
- Positive attitude, reliability, and willingness to learn
- Prior office or customer service experience is a plus, but not required
Preferred Qualifications:
- Experience in managing contract-related documentation.
- Familiarity with project management and document control systems.
- Strong attention to detail and problem-solving skills.
- Notary Public (or willingness to obtain)
Pay: $20.00 – $23.00 per hour
