Position Overview:
We are seeking a detail-oriented, organized, and proactive Administrative Assistant to join our team on a full-time basis. This is an entry-level position with strong growth potential, ideal for someone looking to build a career in construction administration, project coordination, and government contracting.

Key Responsibilities:

  • Provide day-to-day administrative support to office staff, project managers, and leadership
  • Answer, screen, and direct phone calls, emails, and other correspondence professionally
  • Maintain and organize digital and physical filing systems for projects and company records
  • Assist in the preparation, tracking, and submission of project documents, including submittals and closeout packages
  • Support documentation for federal and government projects, ensuring compliance with contract requirements
  • Track and maintain Certificates of Insurance (COIs), ensuring all policies are current and compliant with contract requirements
  • Monitor and maintain vehicle registrations, insurance, and related documentation to ensure company compliance
  • Run and review Accounts Payable (AP) reports weekly, assisting with internal tracking and coordination
  • Assist with data entry, document control, and maintaining accurate project logs
  • Coordinate with vendors, suppliers, and clients as needed for documentation and follow-ups
  • Greet visitors and serve as a professional point of contact for clients and partners
  • Perform additional administrative and clerical tasks as needed to support smooth daily operations

Qualifications:

  • High school diploma or equivalent (some college coursework preferred)
  • Strong organizational skills with attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with learning new software
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • Positive attitude, reliability, and willingness to learn
  • Prior office or customer service experience is a plus, but not required

Preferred Qualifications:

  • Experience in managing contract-related documentation.
  • Familiarity with project management and document control systems.
  • Strong attention to detail and problem-solving skills.
  • Notary Public (or willingness to obtain)

Pay: $20.00 – $23.00 per hour
