JOB SUMMARY

Our client in the ABA therapy space is looking for an admin assistant who maintains and contributes to all clinical, administrative, and operational needs related to the

Autism Scholarship Program

ROLE AND RESPONSIBILITIES

Customer Service

o Answers phone calls and directs calls to appropriate persons/departments or takes

detailed messages

o Initiates initial parent contact and describes scholarship services and application

process

o Reaches out to parents to obtain missing documents and/or explain our services as

needed

o Answers parent questions as best possible or reaches out to manager for guidance

o Communicates to supervisor and intake team when an evaluation for an AEP is needed

based on client eligibility

Documentation

o Maintains client files

o Sends record requests to districts as needed

o Keeps client documents organized (correct folders, appropriate labels, etc)

o Audits received documents to ensure they meet requirements

o Sends documents for parent signature

o Utilizes Click Up to monitor progress

o Adds documents to ODE portal when assigned

o Assists with entering progress reports into ODE portal

o Adds, updates, and end dates staff to the ODE portal including obtaining their

background check, personal information, start date, credentials, and supervisors

o Updates spreadsheets relating to clients and staff such as tracking IEP minutes and

expiration dates

QUALIFICATIONS AND EDUCATION REQUIREMENTS

Bachelor’s Degree preferred

Experiences with Google Workspace including docs and sheets

PREFERRED SKILLS

Excellent verbal and written skills, active listening, coordination skills, judgment,

decision-making, service orientation, professionalism, awareness of surroundings, and time

management.
