We are seeking an organized and proactive Administrative Assistant to provide support to our top executives, including the General Manager and Regional Leadership Team. This dynamic role involves managing complex schedules, communications, travel, expenses, and events. Additionally, you will be responsible for Facility Management, overseeing daily office operations to ensure efficiency and a productive work environment. Strong interpersonal skills, discretion, bilingual proficiency, and a proactive problem-solving approach are essential.
In this role you will:
- Executive Support: Provide comprehensive executive support by managing complex calendars, scheduling meetings, preparing agendas, documenting minutes, coordinating travel arrangements and ensuring follow-up on action items for the General Manager, Regional Leadership Team, and other functional directors, while serving as the primary point of contact for internal and external stakeholders.
- Communication: Act as the main contact for internal and external communications, support coordination between regional leaders and their teams, and assist with materials for leadership reviews and strategic meetings.
- Event Planning: Coordinate and manage regional meetings and corporate events, handling logistics, communications, and vendor needs in collaboration with cross-functional teams.
- Office Maintenance: Ensure the office is clean, safe, and well-maintained, coordinating with maintenance services as needed.
- Compliance & Support: Ensure policy and regulatory compliance, maintain accurate records and databases, and support onboarding and team building for new leadership members
- Continuous Improvement: Proactively find opportunities to streamline administrative processes and improve efficiency.
Key Skills, Abilities, And Experience Required
Bachelor’s degree in Business Administration, Communication, or a related field preferred or equivalent working experience.
+5 years of experience in administrative support roles, preferably supporting senior leaders.
Skills And Abilities
- Bilingual proficiency in English and Spanish, with excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills, with attention to detail and ability to prioritize tasks.
- Proficiency in handling travel arrangements, expense reporting, and event coordination.
- Excellent interpersonal skills and discretion in handling confidential information
