Position Overview

We are seeking a detail-oriented and organized Administrative Assistant to support our tax resolution team. This role is ideal for someone who enjoys administrative work, communicating with clients, and supporting case managers and tax professionals.

Responsibilities

  • Assist case managers and tax professionals with day-to-day tasks
  • Gather, organize, and maintain client documents (financials, IRS notices, forms, etc.)
  • Manage client communication via phone, email, and mail
  • Prepare engagement letters and assist with onboarding new clients
  • Update CRM/case management systems with accurate information
  • Coordinate scheduling for client meetings and internal consultations
  • Track case progress and follow up on outstanding items
  • Perform general administrative tasks to support smooth office operations

Qualifications

  • Previous administrative or paraprofessional experience preferred (tax, legal, or financial services a plus)
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to multitask and manage competing priorities
  • Proficient with computers, including Microsoft Office and CRM systems
  • Comfortable interacting with clients in sensitive or stressful situations
  • High level of professionalism, confidentiality, and reliability

Preferred Skills (Optional)

  • Experience in tax resolution, bookkeeping, or accounting
  • Knowledge of IRS processes or tax forms
  • Bilingual abilities (Spanish/English)
