Administrative Assistant (Customer Service Focused)

We are seeking an organized, empathetic, and detail-oriented Administrative Assistant to join our team at Bailey Insurance Services. In this role, you will serve as the primary face and voice of our company, balancing traditional administrative tasks with high-volume customer service responsibilities. The ideal candidate will blend strong organizational capabilities with exceptional interpersonal skills to deliver a positive experience for our clients while keeping our daily office operations running smoothly.

Primary Responsibilities
Customer Support & Communication

· Primary Contact: Act as the initial point of contact for all external clients, vendors, and visitors.

· Inbound Inquiries: Manage incoming phone calls, emails, and walk-in clients promptly and professionally.

· Issue Resolution: Resolve customer issues, troubleshoot basic problems, or escalate complex issues to appropriate internal teams.

· Product Knowledge: Maintain expert knowledge of our company’s services, workflows, and products to accurately answer inquiries.

· Relationship Management: Update and maintain precise client records and interaction history within our CRM system.

Administrative & Clerical Operations

· Calendar Management: Schedule customer appointments and assist with managing group calendars.

· Data Entry: Input, track, and update client data, and complete other projects as requested.

· Office Maintenance: Manage incoming/outgoing mail, monitor office supply inventory, maintain front lobby supplies, and complete scanning and digital organization as requested.

Qualifications & Skills
Required Experience & Education

· High school diploma or GED equivalent; an Associate’s or Bachelor’s degree is a plus.

· Experience in an administrative support or customer success role.

Core Competencies

· Communication: Advanced verbal and written communication skills with a polished, friendly, and respectful phone presence.

· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel) or Google Workspace, and familiarity with customer service platforms or CRM software.

· Organization: Exceptional time management and the ability to multitask in a fast-paced environment without sacrificing accuracy.

· Problem Solving: Active listening skills paired with a calm, empathetic approach to diffusion of customer complaints.

Pay: $19.00 – $22.00 per hour
