Are you a polished, professional assistant with a sharp eye for detail and a knack for keeping business operations running smoothly?

We are seeking an Administrative Assistant / Executive Assistant (0–2 years of experience) to support a premier Property Management and Operations team in McLean, VA. Sitting directly onsite at a high-profile commercial corporate office, you will serve as a crucial operational anchor, balancing financial administrative tasks, vendor contract tracking, and day-to-day team coordination.

What You’ll Do:

  • Financial & AP Backup: Review, code, and process daily portfolio invoices using enterprise invoicing software (Nexus), assist with accounts payable backups, and manage corporate expense reports (Tripsware).
  • Contract & Vendor Administration: Draft, distribute, scan, and maintain organized files for Capital Improvement Projects and service vendor contracts/change orders.
  • Process & SOP Documentation: Assist leadership with compiling standardized property templates and creating/updating crucial Standard Operating Procedures (SOPs).
  • Platform & Data Monitoring: Maintain and audit modern property management and metrics tracking platforms (Cove, Measurabl, MRI) to ensure tenant service requests are closed out smoothly.
  • Team Logistics & Coordination: Coordinate team meetings (including ordering catering), take detailed minutes, distribute action items, and manage HR checklists for new hire onboarding and offboarding.

What We Are Looking For:

  • Experience: 1+ years of experience in a real estate, property management, corporate office, or fast-paced entrepreneurial environment.
  • Tech Savvy: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook). Comfort learning specialized property software is required.
  • Key Skills: Exceptional written and verbal communication, sharp organizational skills, and a strong ability to manage tight, deadline-driven environments independently.
  • Professionalism: A highly professional, well-put-together demeanor suitable for sitting directly on-site at a premier client location.
  • Logistics: Must have a reliable vehicle for the McLean, VA area.
