We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations. The ideal candidate will be responsible for providing administrative support across multiple departments, maintaining accurate records, assisting with customer communications, and ensuring the office runs efficiently. This role requires strong organizational skills, excellent communication abilities, and proficiency in Microsoft Office applications. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Ability to use good judgment to plan and accomplish goals with a degree of creativity. Reports directly to business owners.

Responsibilities:

  • Answer and direct all incoming phone calls
  • Receive, sort, and prepare all inbound and outbound mail and packages.
  • Maintain a list of contact information
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Maintain and reference both current and archived files in digital and physical format
  • Provide general support to clients and sales team
  • Own and assist in multiple ongoing projects
  • Prepare and monitor product invoices, ensuring accuracy and enforcing timely payment schedules
  • Oversee operation of office equipment and maintenance requirements and calling for repairs
  • Filing, typing, copying, binding, scanning etc.
  • Handle sensitive information in a confidential manner
  • Reply to email, telephone or face to face inquiries
  • Manage staff appointments
  • Greet and welcome all visitors to the office
  • Photocopy and print out documents on behalf of management

Requirements:

  • At least 2 years of experience as Administrative or Executive Assistant
  • High school diploma or equivalent; college degree preferred

Schedule:

  • 8 hour shift
  • Monday to Friday
