Position Summary

Renueva Solutions Corp is seeking a professional, organized, and proactive Administrative Assistant to support daily office operations, customer service, scheduling, invoicing, and internal coordination with our HVAC field team.

This position is essential to maintaining smooth communication between management, technicians, vendors, and clients while helping the company continue delivering high-quality HVAC and air quality services throughout Puerto Rico.

Responsibilities

  • Answer phone calls, emails, and customer inquiries professionally
  • Schedule appointments, maintenance visits, and installations
  • Coordinate communication between supervisor and field technicians
  • Prepare estimates, invoices, work orders, and service documents
  • Maintain organized digital and physical records
  • Assist with payroll preparation and employee documentation
  • Track inventory, purchase orders, and office supplies
  • Follow up with clients regarding appointments and payments
  • Assist management with reports, spreadsheets, and administrative tasks
  • Support HR-related duties such as employee onboarding and document collection
  • Maintain confidentiality of company and client information
  • Help ensure office organization and daily operational efficiency
  • Knowledge of bookkeeping software such as QuickBooks is a plus but not mandatory

Qualifications

  • Previous administrative or office experience preferred
  • Strong organizational and multitasking skills
  • Professional communication skills in English and Spanish
  • Experience using Microsoft Office, Google Workspace, or similar programs
  • Experience with invoicing and scheduling systems preferred
  • Ability to work in a fast-paced environment
  • Responsible, punctual, and detail-oriented
  • Team player with a positive attitude
  • Ability to learn quickly and adapt to company procedures
