About Visiting Angels Mid Maine

Visiting Angels Mid-Maine is the leading provider of senior home care services in the area. Our caregiving team assists clients with activities of daily living (ADLs) to maintain autonomy while receiving personal care. We serve clients in Bangor, ME and surrounding communities.

Principal Accountabilities and Essential Functions

  • Answer the telephone and greet the public.
  • Oversee all aspects of general office coordination.
  • Demonstrate dependability.
  • Recruit and advertise for direct care staff in coordination with the Staffing Coordinator.
  • Support staff in assigned project‑based work.
  • Greet office visitors, addressing their needs or directing them to appropriate staff.
  • Process applications and check references, run criminal background checks for all potential employees. Ensure mandatory items are obtained upon hire and maintain annual testing records.
  • Organize and maintain file systems in compliance with policies and regulations.
  • Maintain absolute confidentiality of all information regarding employees, clients, and client families.
  • Perform general clerical duties – correspondence, copying, filing, and distribution.
  • Handle incoming and outgoing mail.
  • Timely copy and file appropriate caregiver and client documentation.
  • Maintain positive relationships with all clients and referral sources.
  • Maintain and order office supplies as needed.
  • Perform other functions as deemed appropriate by management.
  • Prepare and distribute monthly newsletters.
  • Prepare agenda items and meeting minutes.
  • Participate in on‑call rotation as determined by the Director.

Required Job Knowledge and Skills

  • High school diploma and two years of experience in an office setting, preferably in healthcare or home‑care.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), scheduling systems and related healthcare industry software.
  • Strong listening and clear communication skills, both orally and in writing.
  • Flexibility, resilience, calmness, sense of humor, and a well‑groomed professional image.
  • Planning, organization, prioritization and delegation to meet deadlines, working independently with minimal direction.
  • Ability to generate goodwill for the Agency with clients, families and referral sources, and a strong commitment to client service excellence.
  • Maintain good physical and mental health, including current TB testing.
  • Legal authorization to work in the U.S.

Physical/Environmental Demands

  • Sitting, standing, bending, reaching, stretching, stooping, walking, climbing stairs, and moving intermittently during working hours.
  • Ability to lift at least 50 lbs.
  • Ability to see, hear or use prosthetics that enable adequate function of these senses, ensuring the role’s requirements are fully met.
  • Ability to properly operate office equipment.
  • Ability to maintain verbal and written communication with co‑workers, leaders, supervisors, clients, families, vendors, and all business associates.
  • All demands are subject to ADA requirements.
