Duties

  • Serve as the front desk ambassador, greeting visitors and managing multi-line phone systems with professionalism and courtesy
  • Handle all clerical tasks including data entry, filing, proofreading, and maintaining accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Manage calendar appointments, schedule meetings, and coordinate events to optimize team productivity and time management
  • Provide exceptional customer support by responding promptly to inquiries via phone, email, or in person while demonstrating excellent phone etiquette
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial record-keeping
  • Support office management activities such as supply ordering, inventory tracking, and maintaining a clean and organized workspace
  • Perform specialized roles such as medical or dental receptionist duties when required, including patient scheduling and insurance verification

Qualifications

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
  • Strong typing skills along with attention to detail for proofreading and data entry tasks
  • Experience handling multi-line phone systems and demonstrating professional phone etiquette
  • Bilingual abilities are highly valued for effective communication with diverse clients and team members
  • Previous experience as an administrative assistant, personal assistant, or medical/dental receptionist is preferred but not required
  • Knowledge of bookkeeping software such as QuickBooks is a plus; familiarity with calendar management tools is essential
  • Demonstrated customer service skills with a friendly demeanor and positive attitude toward supporting colleagues and clients alike
